Application Process
Thank you for your interest in renting one of our properties. We’ve compiled this list of information to help you understand our application process.

Once you have selected the home or apartment you want, you will need to apply to lease the property.
Applications are completed online and you can find the link to the application on the detail page for
the property you are applying for. Search our rentals, locate and click on the desired property, then click the “Apply Now” link.

Application must be completely filled out. Our property managers are available Monday through Friday 9:00 a.m. to 5:00 p.m. and Saturday 9:00 a.m. to 3:00 p.m. to answer questions and help you with the application process. No one under 18 can apply as a party to a residential leasing agreement. Electronic signatures are binding the same as handwritten signatures.

There is a non-refundable application fee of $50 for each adult. This fee is to cover our screening and processing costs. Application fee must be paid online electronically at the time you apply

IMPORTANT: You will need to provide a copy of an I.D. for each adult applicant (i.e. Driver License, Passport, Military ID) and verification of income (if employed, 3 full months of current pay stubs; if self-employed, 2 full months of bank statements and the previous year’s tax form 1040). If you already have these as electronic files on your computer, you can upload them on the final step of the online application. Otherwise, you can email them to info@RiverOakRealty.net, fax them to
904-272-2193, or deliver them to our office. If you are emailing or faxing them, please be sure to include your name and property address you’re applying for in your email or on the cover letter.

Most applications are processed in 1 business day, however could take longer depending on the scope of the investigation. Please be aware that any delay in providing us with supporting documentation will delay your application.

Our screening process includes a review of references from your previous landlord(s). We would be happy to help an applicant in choosing an appropriate reference.

As part of the screening process we verify employment references and salary. For self-employed and non-employment income we verify sources and amounts. Examples of verification of self- or non-employee income are: tax returns or current bank statements. An applicant’s gross income should be at least three (3) times the monthly rental amount.

The screening process also includes running a credit report on each individual. If approved, applicants with recent bankruptcies and/or credit problems may be required to make advance rent payments and/or additional security deposit. Please discuss any questions or concerns over credit and/or background requirements with the property manager before submitting the application.

Pets are accepted or rejected based on the property owner’s discretion. Ask one of our property managers if pets are negotiable for the property being applied for. We
do not accept puppies or kittens. Tenants will have to pay at move-in a
non-refundable pet fee which is typically a minimum of $300 per pet (dogs and cats), however could vary by property and type of pet.

After the application, application fee, and all necessary documentation have been delivered, the background check will begin.
As our goal is to rent our properties to the highest qualified tenants, you may be in competition with other applicants should
other applicants apply during the process. Your application fee remains NON-REFUNDABLE even if an application is accepted over yours

Upon communication of application approval, you will have 24-hours to pay the security deposit electronically through the tenant portal AND sign the lease in order to reserve the unit until your move-in date. If you move in date is within 7 days, you will need to bring a cashier’s check or money order to our office. If you fail to do so, the Owner reserves the right to continue marketing the property after said 24-hour period expires and may begin accepting applications from other parties.
